Reconciling Shopify Payments activity reports: month-end, balances and payout differences

For merchant teams using Shopify Payments to close the month, explain balance changes or hand records to accountants, the new activity report puts starting balance, transaction activity, fees, payouts and ending balance in one period view. It is not a revenue report and does not replace individual payout details.

Choose the activity report or Payouts first

Use the activity report to explain how the Shopify Payments balance moves from opening to closing over a month or another period. It shows gross activity, fees, payouts, net amount and ending balance together, with activity-type details for card payments, refunds, disputes, reserves, taxes, Shop Cash and internal transfers.

For a particular bank deposit or the transactions included in one payout, continue using the Payouts page and transaction-level CSV. Why activity and revenue reports do not match

The activity report is organized around Shopify Payments balance activity and transaction dates. Finance reports instead use orders, sales and captured-payment activity. Refunds, disputes, fees, reserves, payout timing and data delays can produce different amounts over the same calendar period.

Do not book gross activity directly as revenue or use ending balance to infer monthly sales. Accounting revenue should follow applicable sales, tax and accounting definitions. The activity report documents balance movements and provides clues for investigating differences.

Six steps for month-end reconciliation

First, confirm the store uses Shopify Payments and the operator is the owner or staff permitted to view payouts. Second, fix the report period; custom ranges can start only from January 1, 2025. Third, select one payout currency, generating separate reports for each currency.

Fourth, record starting balance, expand gross activity, fees and payouts, and verify that net movement reconciles to ending balance. Fifth, drill into unusual activity groups, then use Payouts to check specific bank deposits. Sixth, wait until the cutoff date is more than 3 days old before exporting PDF, and hand the period, currency, generation time and unresolved items to the accountant together.

Exclude out-of-scope amounts first

The report excludes Shopify billing fees and third-party payment processors or methods such as Authorize.net and Afterpay. If orders use both Shopify Payments and external methods, split them by processing channel before comparison rather than matching all-store order totals directly to the report.

Do not combine currencies first and explain differences afterward. Each payout currency has its own report. Reconcile balances within each currency before conversion under the accountant’s exchange-rate and date rules; otherwise exchange differences may be mistaken for missing Shopify payouts.

Troubleshoot mismatched figures in this order

For differences in Reserves & Holds, remember that retained or held funds remain funds held within the Shopify Payments account, not new sales revenue. Permissions, handoff and audit checklist

If finance staff only need to view payouts, do not additionally grant order-editing, refund or store-settings permissions. Establish a month-end template with store, legal entity, time zone, period, payout currency, generation time, 3-day-delay cutoff, PDF, Payouts export and discrepancy explanations.

The PDF is a period summary, not an immutable bank or tax document. Retain original Payouts exports, bank statements and accounting-adjustment evidence, recording who generated and reviewed them. Revoke payout-viewing access promptly when permissions change or staff leave.
